Access
Q: I can’t log in
A: Please reach out to product-support@homebound.com to confirm your email has been given access to the Trade Portal. Please see the article on signing in: How to Sign Into the Homebound Trade Portal
Q: Will I always need to request a temporary access code?
A: There are two ways to log in:
- with google (which does not generate an access code)
- by typing in your email address (which sends an access code to your email).
If you don’t receive a code- lease check your spam or junk folder for an email from login@homebound.com
Once in, you remain logged in until you select “sign out” or your browser logs you out.
Q: When logging in, there is no place to add a password / user name.
A: The trade portal does not require a username or password. Your email is sufficient for logging in.
Billing/Payments/PO's
Q: Do I still need to submit my Invoice to Homebound?
A: If the project is in the construction stage and there is an existing PO, you do not need to submit an Invoice. After Vertical completion and/or if there is no PO, please submit an invoice to ap@homebound.com
Note: If you have Risk Master’s Insurance, you should always submit an Invoice to ap@homebound.com
Q: I haven’t seen a bill - even though the work is completed.
A: First, check with the on-site superintendent to verify the completion was confirmed. If confirmed and you still do not see an invoice, please reach out to Product Support using the ? symbol at the top right of the Trade Portal.
Q: I need access to payment details.
A: You can view this information in the Trade Portal Invoices tab. Click on “view Invoice” to get details on line items, the related PO# and to download the invoice.
Q: What does the #HB number mean?
A: This is an auto-generated Homebound Invoice number. Any invoice # that does not start with “HB” reflects an invoice the trade has submitted.
Q: Who receives the payment remittance information?
A: Payment remittance information is emailed to the person your company assigned to this role during the accounting onboarding process. Remittance information emails come from TalktoAP@homebound.com (FISPAN will be in the email). If this person is unable to locate the emails, please first check the spam folder. Please ensure these emails are marked as Non-Spam to ensure none are missed or deleted.
For further payment inquiries, please email TalktoAP@homebound.com.
Q: What do we do if the bill / invoice amount is incorrect?
A: If the Bill amount is incorrect, simply “Request Changes” using the button at the top right next to the Approval button. See our support article here: Managing your Trade Invoices
Q: Can we have multiple Bill Approvers?
A: Currently we do not support the ability to have multiple Bill approvers.
Q: How can I match the invoice to the PO being paid?
A: From the Invoice screen: Click “View Invoice” on the right side of your Invoices screen. The PO # relevant to that invoice is in the top left corner of the screen. You can click on the blue text to review more information about that PO.
From the PO Screen: click on “View PO” on the far right. Once in the PO- in the box to the far right- find and click on ”Invoices” to see all Invoices associated with that PO.
Q: How do you get our invoice # if we do not email the invoice?
A: Homebound Invoices generated a unique Invoice # that starts with HB.
Q: Will the entire amount of the PO be paid?
A: At Homebound, payments are based on approved Invoices rather than Purchase Orders (POs). Once an invoice is approved, it will be paid but the amount could differ from a PO because multiple invoices may be linked to a single PO, allowing for flexibility in payment schedules and breakdowns such as draw schedules.
Q: How do we get additional PO’s issued for extra services, etc?
A: Your local Purchasing Agent is the best contact for additional PO’s.
Scheduling
Q: If we have already confirmed a task, then the superintendent reschedules it, will the task ask us to reschedule/confirm again?
A: Yes, if the original task changes at all, you will be asked to re-confirm your availability.
Q: Will only construction tasks show or will warranty tasks show on the schedule as well?
A: Currently we are showing only construction tasks.
Q: Is there a way to view a calendar view of upcoming tasks or will it only be viewable in list view?
A: Currently this is in list view, but a calendar view option has been recorded as a future need.
Q: How far in advance will tasks be scheduled?
A: You will be able to view scheduling that is 6-8 weeks out.
Q: Are there multiple emails that can receive scheduling notices?
A: Currently only the contact listed as the “Scheduler” received these notices. This idea has been recorded as a future need.
Q: Once the PO is signed, does it automatically show on the schedule?
A: Tasks associated with scope in a signed PO will be visible on the scheduling tab in the portal up to 60 days out. You can also view schedules related to a specific PO by clicking "View PO"-then, in the box to the right, click "Specs" and scroll down to Schedule.
Other
Q:Are the plan folders (or Design Sheets) for the jobs in your portal?
A: Not yet, but adding these items to the trade portal is on the roadmap for the future. If you need access to your plan set, please reach out to your Construction Ops superintendent. You can find their contact information by clicking “view PO” - then going to “details” in the far right box.
